Committees

Composition and Qualifications
The standing committees of the Organization shall be:
a) Fund Raising
b) Hospitality
c) Pit Crew – Outdoor
d) Pit Crew – Indoor
e) Spirit Wear
f) Senior Awards
g) Marching Band Uniforms
h) Indoor Drumline Uniforms
i) Guard Uniforms – Outdoor
j) Guard Uniforms – Indoor
k) Band Banquet

Committee Chairs
Committee Chairs shall head their respective committee and be responsible for reporting to the Board of Directors at any regular or special meeting.
a) Qualifications
A Committee Chair shall be a member in good standing and have a student active in the Band Program.
b) Term of Office
The term of each Committee Chair shall be for one (1) year, commencing on the first day following his or her appointment at the annual meeting of the Board of Directors or until his or her successor is appointed and takes office.
c) Nominations
The Board of Directors may, but shall not be required to, form a Nominating Committee, which Nominating Committee shall recommend to the Board of Directors at a special meeting a slate of Committee Chairs to be voted upon by the Board of Directors. The names of the Chairs to be nominated shall be sent to the members of the Board of Directors with the notice of meeting as provided in Section 4.3. Nominations, in addition to those so named, may be made by any Director or from the floor at the June general membership meeting.
d) Vacancies
If any position shall become vacant at any time for any cause, the vacancy may be filled for the unexpired term at any regular or special meeting of the Board of Directors, provided the notice of meeting shall have set forth the name of the person to be nominated for such office.
e) Election, Resignation and Removal
a. Committee Chairs are elected by a majority vote of the Board of Directors out of the qualified nominees presented by the Nominating Committee and/or nominations made from the floor at the June meeting.
b. Any Committee Chair may resign at any time by giving written notice of resignation to the President or the Secretary. Any such resignation shall take effect upon its receipt by the Organization or at a subsequent time as shall be specified in such notice of resignation. Acceptance of such resignation by action of the Board of Directors shall not be necessary to make it effective.
c. The Board of Directors, at any time, may remove any Committee Chair elected or appointed by the Board of Directors with cause. Any Committee Chair of the Organization may be removed from office by the affirmative vote of a majority of the Directors present at any regular or special meeting of the Board of Directors, called for that purpose, notice of which shall have been given to such officer by

the Organization. Such Committee Chair may elect to appear and to be heard at the meeting provided written notice of his or her request for such hearing has been given at least two (2) days before the date of the meeting.
f) Multiple Roles
No one person shall hold more than two (2) Committee Chair positions, or one (1) Officer and one (1) Committee Chair position at the same time during one competition season.

 

Fund Raising Committee
The Fundraising Committee shall be Chaired by, or under the direction of, the Treasurer. The Fundraising Committee, following program approval from the Board of Directors shall: coordinate, plan and implement activities and resources necessary to achieve fundraising objectives of the Organization. The Fundraising Committee Chair must present a general status update pertaining to the position responsibilities to the Organization at all general membership meetings.

Hospitality Committee
The Hospitality Committee shall be Chaired by, or under the direction of, the Vice President of Hospitality. The Hospitality Committee shall be responsible for scheduling, organizing, and implementing a program to provide meals, beverages, and snacks for student members of the Band Program as requested by the Band Directors, with the approval of the Board of Directors. The program may include, but not be limited to, band camps, rehearsals, football games, competitions, and home shows. The Hospitality Committee Chair shall work directly with the Treasurer to establish the cost of such program and establish student costs and determine funding needs. All expenditures and proceeds shall be turned over to the Treasurer as the conclusion of each event. The Committee, with approval from the Board of Directors, may seek donations from outside businesses in coordination with the Fundraising Committee, provided that such activities are not inconsistent with the purposes of the Organization as set forth in the Organization’s Certificate of Incorporation, these Bylaws, and the laws and regulations of the Federal government and the State of New Jersey.

Pit Crew Committee
The Pit Crew shall be formed each season for the purposes of assisting the Band Directors, Marching Band, Color Guard, Indoor Drumline, and Indoor Color Guard with the building of, transporting of, and moving of props onto the field of competition as requested by the Band Directors. The Pit Crew Chair shall communicate directly with the President regarding the needs of the pit crew, and the President shall be the liaison between the crew and Band Directors.

Spirit Wear Committee
The Spirit Wear Committee shall be responsible for determining the types and amounts of spirit wear that may be needed each season and for the marketing of such spirit wear via the Organization’s web site, at competitions, and other methods that may be deemed appropriate by the Board of Directors. All expenditures and proceeds shall be turned over to the Treasurer at the conclusion of each event.

Senior Awards Committee
The Senior Awards Committee shall be limited to six (6) members to be appointed by the Board of Directors. All in good standing Family Members are eligible to be nominated for the committee, except for those who are a parent or legal guardian of a senior member of the Marching Band, Color Guard, Indoor Drumline, and Indoor Color Guard. The Committee shall appoint one (1) of the appointed members of the Committee as the Chairperson. The Chairperson will be responsible for collecting applications, distributing the applications for scoring, tallying the scores, and reporting to the Board of Directors the award results. The Committee shall follow the rules for selecting awards as set forth in Article 9, Section 9.4 of these Bylaws.

Uniform Committee, Marching Band
The Uniform Committee for outdoor Marching Band shall be responsible for organizing the uniforms and ensuring that each student has a uniform for each Marching Band event. Members of the Committee will:
a) Size Marching Band members for uniforms in August during band camp;
b) Altering uniforms as necessary for each student;
c) Distribute uniforms and shakos prior to each Band event;
d) Collect all uniforms and shakos after each Band event;
e) Have all uniforms cleaned at the end the school year or as determined by the Band Directors, at the expense of the EVBA or School..

Uniform Committee, Indoor Drumline
The Uniform Committee for indoor Drumline shall be responsible for organizing the uniforms and ensuring that each student has a uniform for each Indoor Drumline event. Members of the Committee will:
a) Size Drumline members for uniforms in January;
b) Altering uniforms as necessary for each student;
c) Distribute uniforms prior to each Indoor event;
d) Collect all uniforms after each Indoor event;
e) Have all uniforms cleaned at the end the school year or as determined by the Band Directors, at the expense of the EVBA or School.

Uniform Committee, Outdoor Color Guard
The Uniform Committee for outdoor Color Guard shall be responsible for organizing the uniforms and ensuring that each student has a uniform for each Marching Band event. Members of the Committee will:
a) Size Color Guard members for uniforms in August during band camp;
b) Altering uniforms as necessary for each student;
c) Distribute uniforms and equipment prior to each Band event;
d) Collect all uniforms and equipment after each Band event;
e) Have all uniforms cleaned at the end the school year or as determined by the Band Directors, at the expense of the EVBA or School.

Uniform Committee, Indoor Color Guard
The Uniform Committee for indoor Color Guard shall be responsible for organizing the uniforms and ensuring that each student has a uniform for each Indoor Color Guard event. Members of the Committee will:
a) Size Guard members for uniforms in December;
b) Altering uniforms as necessary for each student;
c) Distribute uniforms and equipment prior to each Indoor event;
d) Collect all uniforms and equipment after each Indoor event;
e) Have all uniforms cleaned at the end the school year or as determined by the Band Directors, at the expense of the EVBA or School.

Band Banquet
The Band Banquet Committee shall be responsible for organizing the annual Band Banquet in May. The Committee will determine the location, menu, and cost of the Banquet and work with the Treasurer to establish a working budget. Committee members will work with the student Band Officers to coordinate the Banquet program, and purchase of gifts for the Band Directors, if money is collected from the students for such purchases.
